With spring fast approaching, many people are scurrying around doing some spring cleaning at home. But spring cleaning is also a good idea for the workplace. Why? Apart from cleanliness and aesthetics, looking around for documents and supplies that are buried under clutter takes up time and energy that is better spent on work tasks. So, a bit of spring cleaning can actually help boost productivity. Here are a few tips to get you started.

  • Files: It’s surprisingly easy for files to get out of hand, even with labeled file folders. With employees shuffling through files throughout the year, it’s not uncommon for things to move around or go missing. Take the time to sort through files and ensure that they’re organized well. This is also a good time to throw out files that are no longer needed.

  • Personnel: Similar to cleaning out old files, it’s a good idea to browse through HR records, update information as needed and destroy old files. Since these documents contain sensitive information, be sure to keep them locked up.

  • Desks: Encourage your staff to clean their desks and remove clutter. A clear workspace is more conducive to productivity, as we mentioned above.

  • Computers: Additionally, encourage your staff to do some digital organization. Neglecting to delete old emails and bookmarking numerous articles of interest can cause clutter similar to that of the paper files. Having less to look at may help employees better organize their tasks with less stress.

  • Fridge: Notify that staff that you’ll be cleaning out the fridge at the end of a particular day (Fridays work well). Anything marked can stay, while anything unmarked (or rotting) will be thrown out.

Many of these points are best performed by HR, specifically when it comes to personnel files. However, if time is short and your to-do list is long, you may need some outside assistance. Our agency offers HR outsourcing to help with the paperwork that you may not have the time for.
